When organising the Largs Viking Festival, the committee collect and process the contact details of sponsors, suppliers and festival visitors.

The main “suppliers” may include entertainers, Viking re-enactors, stall holders, schools, licensing and council contacts with details including:

Section 3: How we get the information and why we have it
​
a) Most of the personal information we process is provided to us directly by visitors or suppliers by:
Visitors filling in the contact form on our website;
Suppliers contacting the committee by social media, email or telephone;
Both Visitors and Suppliers entering details as a result of the Track & Trace QR code;
When you make a donation on the Largs Vikings Festival website, (with your permission) we collect the personal information you give us such as your name and email address.

b) We also receive personal information indirectly, from the following sources in the following scenarios:
Recommendations by other suppliers
3rd Party suppliers found online.

c) The committee use the information given in order to:
To facilitate and manage the running of the market stalls;​
To organise and the manage the air-display;
To organise and manage the set-up of the Viking Village;
To liaise with any ad-hoc 3rd party suppliers to the festival;
To liaise with any council or licensing contacts;
To liaise with any support groups e.g., Resilience team, First Aid, Security;
To support any Track and Trace activities;
To ensure all health & safety facilities are in place;
To ensure all the plans and licenses are in place;
Email marketing (if applicable) – with your permission, we may send you emails about the Largs Viking Festival and any future events.

Under the General Data Protection Regulation (GDPR)
The lawful bases we rely on for processing this information are:

(a) Your consent, which you are able to remove at any time. You can do this by contacting the committee at contact.us@largsvikingfestival.co.uk;
(b) We have a contractual obligation with any suppliers delivering goods or a service.

Section 5:
How we store your information
Personal Information is stored in both electronic and paper format by the individual directors who liaise with both suppliers and visitors.

If any details are found to be incorrect these are updated, with the previous record deleted electronically or shredded. Personal Information of suppliers are held on an ongoing basis to allow for communications each year. If it is found that a contact is no longer trading, the contact details are deleted electronically or shredded. Personal Information collected as a result of the Trace & Trace activities will be held electronically for the length of the Festival plus 10 days after which it will be deleted. Personal Information of visitors contacting the Committee with a query via the website or email shall be deleted after the final event of the Festival. The security of messages held on Social Media showing the visitors’/suppliers’ social media identifier will be maintained using the Social Media Platform Privacy Settings.

Section 6: Your Data Protection Rights

Under data protection law, you have rights including:

Tell people what you do with the information. Include if you share information with anyone, or any other business. Make sure you include how you do this and any sharing you do outside the EU. ​Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal data in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
